Dear Colleagues,

Under Article V of the By-Laws governing the International Corrections and Prisons Association (ICPA), I am required to advise you that the Association's Annual General Meeting (AGM) will take place in the Hotel Intercontinental Presidente, Mexico City, Mexico on Tuesday, October 30, 2012. The meeting will commence at 1715 hrs.

At the AGM, elections will take place for the under-noted Board position:

- Ordinary Board Member category (one (1) position)

Nominations for the Board Member position must be submitted to the address above and must reach the ICPA Head Office by October 1, 2012. The nominations must be in writing and be duly signed by the candidate being nominated. A short written statement about the candidate must also be submitted. In addition, all candidates must agree and sign the Declaration by Prospective Board Members, which sets out Board member roles and responsibilities.

Any candidate nominated must be a member of the ICPA, aged 18 or above, and with the capacity to contract in law. Terms of office are for four (4) years and no member of the Board may serve in the same position for more than two (2), four (4) year terms. Upon registration at the conference, you will receive the complete AGM package which will include any proposals and ballots for this election.

As stipulated in the ICPA By-Laws, in the event of a vote at the AGM, Individual Members have one (1) vote and Institutional and National Members have three (3) votes, which can be exercised by one delegate at the AGM. Please advise this office, at the address below, in writing, of the voting delegate for Institutional and National Members by October 1, 2012. Please note that in order to vote, all memberships must be active. Proxy votes are not allowed as per Article V of the By-Laws. Individual Members can view their membership details and apply/renew online at www.icpa.ca. Institutional and National Members should contact cassandrajohnson@icpa.ca for membership information.

In addition, the Board at its meeting of June 2012 agreed on a number of By-Law amendments to the existing By-Laws. As stipulated by Article XVII of the By-Laws, these By-Law amendments are now required to be put to the AGM for consideration and voted upon at the AGM.
